Job Description
We are looking for a highly organized and proactive Personal Assistant to the CEO/President to provide high-level administrative, strategic, and operational support. In this crucial role, you will act as the primary point of contact and liaison between the executive office and internal/external stakeholders, managing a complex schedule and ensuring optimal time management for the CEO/President. You will oversee daily administrative workflows, coordinate high-profile meetings and travel arrangements, and handle confidential information with the utmost discretion. Additionally, you will play a key part in quality control for corporate communications, prepare executive briefings or presentations, and anticipate the operational needs of the leadership team to ensure seamless business continuity.
Key Responsibilities
- Act as the primary point of contact and liaison between the CEO/President's office and internal/external stakeholders, managing communications effectively.
- Oversee and manage the CEO/President's daily calendar, prioritizing appointments, resolving scheduling conflicts, and ensuring optimal time management.
- Coordinate comprehensive domestic and international travel itineraries, including flights, accommodation, visa requirements, and ground transportation.
- Organize and facilitate high-profile meetings, board presentations, and corporate events, ensuring agendas are prepared and necessary documentation is distributed.
- Filter and manage incoming correspondence, phone calls, and emails, handling routine inquiries and escalating critical matters appropriately.
- Maintain rigorous quality control over corporate communications, drafting, reviewing, and editing official emails, letters, and presentation decks on behalf of the executive.
- Track project deadlines and deliverables across various departments, following up with internal teams to ensure alignment with the CEO/President's objectives.
- Handle highly confidential, strategic, and proprietary information with the utmost discretion and integrity.
- Prepare executive briefings, summaries, and analytical reports to update the CEO/President on ongoing business operations and market trends.
- Anticipate operational needs and implement administrative process enhancements to streamline workflows within the executive office.
Job Requirements
- Minimum of 3 to 5 years of proven experience as an Executive Assistant, Personal Assistant, or in a similar high-level corporate support role.
- Minimum Diploma or Bachelor’s Degree in Business Administration, Communications, Corporate Secretarial Studies, or a related field.
- Proven ability to handle highly confidential, sensitive, and proprietary information with impeccable integrity and discretion.
- Exceptional written and spoken communication skills, with professional fluency in English.
- Strong ability to multitask, solve complex problems under pressure, prioritize effectively, and thrive in a fast-paced environment.
- Proficiency in productivity software and executive tools, including Microsoft Office 365, Google Workspace, and advanced calendar management systems.
- High flexibility and willingness to travel outstation or adjust working hours as needed to align with the CEO/President's schedule.
